This is the fourth report that I write to the board since I started the role as Secretary General. These reports will normally be conducted on a monthly basis, and they are submitted to the board ahead of their meetings, in line with the rules for the Secretary General. The format of the reports are likely to develop over time. Feel free to post questions and suggestions for improvements in this thread.

Secretary General Report - September 2025

Covers the period of 2025-09-21 to 2025-10-18

Management

  • Recruitments:

    • Ioanna Kalli has been recruited as Team Assistant

  • The management team has agreed to rename the “Community & Outreach” team to “Outreach” team. This is purely for simplicity reasons

  • The management team has agreed to create a new team, the Finance team. This will be done by moving the accounting roles from operations, and the fundraiser role from Outreach, to the new team. The first step towards this will be to recruit a team leader for this new team. The main reason for the reorganisation is the heavy workload on the Operations team stemming from our high rates of recruitments and onboarding.

  • The Management team has set a schedule of weekly check-in meetings on Mondays, with longer meetings the week where there’s a board meeting on the Weekend.

Operations

  • Recruitments:

    • Florencia Zozaya has been recruited as Team Assistant
    • Rasha Itani has been recruited as Recruiter
    • Vana Ćendo has been recruited as Onboarding Officer
    • Biagio Capacchione has been recruited as Legal Support Officer

  • Two onboarding sessions for new recruits have been organized, on 30 September and 14 October. These sessions will continue to be held on a bi-weekly basis.

  • An onboarding manual has been created, to be distributed to new volunteers in the Secretariat.

  • All in all, over 60 recruitment interviews have been conducted, leading to over 25 successful recruitments to the Secretariat.

  • Recruitments:

    • Ruben de Groot has been recruited as Platform Steward - Mattermost
    • Mayowa Adeyemi has been recruited as Team Assistant
    • Sergei Pojdansk has been recruited as Sysadmin

  • We have had problems accessing our systems, as our external provider has paused support while considering if they should terminate the contract they have with us. After a couple of weeks of absence we have gotten confirmation that the provider wishes to end their involvement at the end of the year, and we are looking at how to make the transfer as smooth as possible.

  • We had to resort to set up temporary email addresses for our Management team at the europeanpirates.org-domain, due to us not having access to our other domains at the moment.

  • TL IT has been granted the right to conduct a contract with an hosting service to acquire server space for a server to host a new Nextcloud instance for the Secretariat. The cost will be covered by the IT budget.

Communication

Outreach

  • Recruitments:

    • Vitaliia Kilinkarova-Toronchenko and Yassine Battah has been recruited as Deputy Team Leaders
    • Sarah Bandona has been recruited as Volunteer Coordinator
    • Kalina Petrovski has been recruited as Team Assistant
    • Ain Al-Awlaqi has been recruited as Event Planner

  • I had a meeting with the Secretary General of the Greens/EFA Group to establish a solid foundation for collaboration

  • I had a meeting with the Secretary General for the EFA Party, discussing how we could collaborate inside and outside the Greens/EFA Group.

  • I attended the Privacy Camp, together with TL Operations, and networked with the other participants. Home - https://privacycamp.eu/

  • TL Community & Outreach, TL Operations and I had a meeting to discuss how to get the Crowdfunding on OpenCollective up and running, in line with our donations policy.

  • TL Community and Outreach has been to Slovenia to discuss with the Slovenian pirates the details around them hosting the next Council meeting.

  • TL Community and Outreach attended an Wikimedia event in the European Parliament to network

  • I attended the Wikimedia Big Fat Brussels Meetup to network.

  • I have been invited to attend the European Green Party Congress as a Guest in December.

Policy

  • Recruitments:

    • Nafisa Usman has been recruited as Researcher
    • Keitlyn Schleicher has been recruited as Team Assistant
    • Giorgios Maroulis has been recruited as Researcher
    • Ojochogwu Enape has been recruited as Policy Analyst

  • Started building a shared resources library for the Policy team

  • TL Policy has begun conversations with contacts at several universities to engage academic subject matter experts in law and digital privacy

  • The team have started looking into the Digital Fairness Act, with an eye to delivering a submission as part of the current consultation.

I corrected a small misstake in the report:

Yassine Battah had been recruited as Deputy Team Lader in the Outreach Team, not as event planner.
