Report Secretary General November 2025

This is the fifth report that I write to the board since I started the role as Secretary General. These reports will normally be conducted on a monthly basis, and they are submitted to the board ahead of their meetings, in line with the rules for the Secretary General. The format of the reports are likely to develop over time. Feel free to post questions and suggestions for improvements in this thread.

Secretary General Report - November 2025

Covers the period of 2025-10-19 to 2025-11-29

Management

The management team continues to meet on a weekly basis to coordinate all teams. A new team, the Finance Team, was created by moving accounting responsibilities from the Operations Team and fundraising responsibilities from the Outreach Team to the new team.

  • Recruitments
    • Nayam Waseem was recruited as assistant to the Secretary General

Communications Team

The Communications Team continued developing content, onboarding new members, and improving coordination and visibility.

Finance Team

The team was created in mid November, and has just started to look into setting up a Luxembourgish bank account for us, and how to connect this with the Open Collective fundraising platform. Meetings between members of the team and the Treasurer has taken place.

    • Nicolas Larkin was recruited as fundraiser
    • Amenyo Setordzie was recruited as fundraising officer
    • Victoria Ivanova was recruited as Bookkeeper and Compliance Assistant

IT Team

The main focus of the IT Team is the transfer of all our IT services from our old provider to our new in-house team. The contract with our previous service provider has been terminated as of the end of the year. The handover has suffered from lack of or delayed responses to most of our requests.

  • Recruitments

    • Stefano Moreale was recruited as Deputy Team Lead
  • We´ve activated a new Hetzner server to host future services and migrate existing ones, such as Mattermost from our WEDOS server.

  • Infrastructure & Systems has gotten an overhaul, including a migration of Discourse, and importing Dokuwiki and Wordpress into staging. Linkwarden and Outline has been deployed as new knowledge-management platforms for the Secretariat, and Migadu has been selected to be the new email provider when we migrate the accounts from our old provider.

  • Transparency & Documentation has improved as all services are containerized using docker compose, and configurations are stored in a centralized Git repository.

Operations Team

In October steady progress was maintained throughout. The main focus was on strengthening internal processes, improving team coordination, and supporting ongoing recruitment and administrative workflows. This included an offboarding process, updating the onboarding handbook, developing an Organigram for the Secretariat and a contact database for all volunteers.

    • Chelsey Eyong was recruited as HR Assistant

Outreach Team

The outreach team jas focused on preparing the next Council meeting, getting a membership database up and running, mapping of networking and events, setting up fundraising operations, which has since been transferred to the Finance team responsibility.

  • Recruitments and promotions

    • Yassine Battah has been recruited as Deputy Team Lead
    • Giovanni Zanatta has been recruited as Membership Coordinator
    • Sarah Bandona has been recruited as a Volunteer Coordinator
  • We’ve coordinated with the Slovenian pirates in preparations for the next Council meeting, moving forward on logistics, budget, content, and announced the date on Discourse. This is discussed separately at the Board meeting

  • The Sec.Gen. and Chair of the organisation attended Volt Europas General Assembly in Frankfurt and held bilateral meetings with the Co-Chairs of Volt, one of their Secretary General, as well as with Pirate MP Sven Clement.

  • There’s been ongoing conversations with different aligned political movements, primarily Volt and EFA, on how we can best enhance cooperation to leverage our influence on the European level, and to see if these efforts can have positive effects also on the national level.

Policy Team

The Policy Team expanded its capacity and continued foundational work to support upcoming consultations and policy development.

  • Recruitments

    • Gianluca Palombi was recruited as Researcher
    • Alex Collado was recruited as Researcher
    • Iman Awada was recruited as Researcher
    • Nafisa Usman left the team
  • The team worked extensively on producing consultation input to the Digital Fairness Act, but due to tight timelines, the team was unable to submit before the 24 October deadline.
